Business Digitalization: A Practical Guide

Context

Corporate digitization is not simply the adoption of new technologies, but represents a profound change that involves every aspect of the organization: from internal processes to corporate culture, from people’s skills to the way in which we interact with customers and suppliers

In an increasingly competitive and constantly evolving market, digitization means rethinking one’s operating model to make it more efficient, flexible and future-oriented.

It’s not about replacing analogue with digital, but about integrating tools and solutions that allow you to work better, make more informed decisions and offer a better experience to your customers. In this article, we will explore what business digitization really is, what benefits it can offer, and how to approach this path strategically and sustainably.

Facing digital change with awareness

However, not all companies are ready to jump headlong into digital, which is why in this article we want to accompany you step by step with a practical, stress-free approach to understand how to deal with corporate digitization in the healthiest way possible.

1. Understand where you are before deciding where to go

Every transformation starts with an awareness, and corporate digitalization is no exception: it is about re-imagining the way the company works.

To do this, the first step is to take a detailed picture of the existing: a clear map of current processes, operating habits, information flows and the most frequent critical issues.

We need to ask ourselves: how do you manage communication between departments? Are business documents centralized? Are recurring activities carried out with digital tools or even manually?

Very often this type of analysis highlights an internal crack such as departments that use modern tools alongside others that make do with improvised solutions.

It can be useful to involve those who work in the field every day, they are often the ones who have their finger on the pulse of the situation and suggest the small changes that make the difference.

Effective business digitization starts from reality and not from the ideal.

2. Choose clear and realistic goals

Once you understand where you are, you have to decide where you want to go. Corporate digitization cannot be an end in itself but must respond to clear and concrete objectives.

We often tend to aim high by imagining radical transformations but in everyday reality it is the gradual improvements that make the difference.

A good digital goal is specific, measurable, relevant to the business, and achievable with current resources.
For example, a commercial company could aim to reduce customer response times by 40% within 6 months thanks to a new CRM. Or a manufacturing company may want to digitize order management to track production progress in real time.
It is therefore essential to set goals but above all to align the objectives at the different levels of the company. Management could focus on overall efficiency, while those who work operationally would only like to avoid having to enter the same data 3 times in three different systems. Recognising these parallel priorities and bringing them together into a coherent project allows you to generate real and immediate value

3. People before technology

People are the ones who bring business processes to life every day and they are the ones who must feel part of the change.

This is why corporate digitization must be designed with people and not just for people. It means involving teams from the earliest stages, asking for opinions, listening and collecting ideas. Many digital projects fail precisely because employees experience them as an imposition or a threat. For this reason, it is also important to work on internal communication: you have to explain the reason for the changes, clarify the personal benefits and offer practical training.

Digital culture cannot be imposed from above, it is built over time and is made up of small things because people, when they understand that technology can make their lives easier, become the first promoters of change.

4. Choose the right tools for your reality

Every business has unique needs and dynamics. The temptation to adopt the most famous platform or copy the model of a large company is strong but often ineffective.

The market offers an infinite number of digital tools but you don’t need to have them all, you need to have what is really useful for the company. This is where the ability to critically select the right tool comes into play, avoiding the so-called “shiny object effect”: the attraction to what seems innovative but then in practice does not integrate, is not used or complicates processes.

If internal communication is the problem, it makes sense to evaluate business messaging tools or document sharing platforms; if the node is data control, you probably need a management system or a modular ERP (Enterprise Resource Planning).

The advice is always to start small, test agile solutions with a limited number of users and then expand only if the impact is positive.

Another thing that should not be underestimated is the integration between tools: having 5 disconnected software that do not talk to each other is worse than having a single tool that is a little less performing but well connected. Digitization is not a sum of tools but an ecosystem that must work consistently.

5. Monitor, adjust, grow

Corporate digitization is a continuous path that must be observed, evaluated and adapted.

Once the tools have been implemented and the new processes have been initiated, regular moments must be established to take stock of the situation. This monitoring should not be an imposed control but a space for comparison: it serves to understand if the initial objectives have been achieved, if the chosen software is really suitable and if the training has been sufficient.

At this stage, collecting feedback is very important because even a simple internal questionnaire or some informal interview is enough to understand how it is going. It is very important to keep the mindset of continuous improvement alive. In fact, digitization is a living process that never ends: it evolves together with the company, people and the market.

The goal is to build a system that really works, that works together with the company and that is flexible in the face of new needs.

Business digitization: data in Italy

When it comes to corporate digitization, it is essential to also look at the numbers to understand where we are and where we can (or must) go.

Italian SMEs are struggling in digitization

In Italy, the process is underway but still proceeds at different speeds, especially between large companies and SMEs. According to an analysis by Il Sole 24 Ore, 39.3% of Italian small and medium-sized enterprises have a very low level of digitization, while only 2.8% reach a “very high” level. This figure highlights a gap to be bridged compared to other European countries, where the adoption of digital tools is already more mature.

SMEs digitize… but they do not dialogue

According to the ISTAT report “Enterprises and ICT – Year 2023“, 60.7% of Italian SMEs adopt at least four digital tools, but only 13.6% are able to exchange data electronically with customers or suppliers: one of the most significant gaps in processes.

Only 28% of listed companies have a digital strategy

Alkemy’s Digital Transformation Index 2024 finds that only 28% of Italian listed companies have embarked on a structured digitalization path. The remaining 72% are still moving without a clear direction.
